Privacy Policy

Account Data

When you create an account, we collect your name, email address, organization name, and billing information.

Facility & Operational Data

Data you enter into the platform, including pool chemical readings (pH, chlorine, alkalinity, temperature, clarity), water quality logs, staff certification records, incident reports, checklist completions, and safety alerts.

Usage Data

We automatically collect information about how you interact with the Service: pages visited, features used, session duration, IP address, browser type, device type, and referring URLs.

Communications

If you contact us for support or submit feedback, we retain that correspondence.

Payment Data

Payment transactions are processed by Stripe. We store only the last four digits of your card, billing address, and transaction records. We never store full card numbers.

We use your information to:

• Provide, operate, and improve the Service
• Process your subscription and billing
• Generate AI-powered water quality guidance and compliance insights
• Send compliance alerts, certification expiry reminders, and inspection readiness reports
• Respond to your support requests
• Send product updates, new feature announcements, and security notices (you may opt out of marketing emails)
• Detect, prevent, and address fraud, abuse, or security incidents
• Comply with legal obligations
• Conduct aggregated, anonymized analytics to improve product features

We do not use your facility compliance data to make automated decisions that produce legal or similarly significant effects on you without human oversight.

We do not sell your personal data. We share data only as necessary:

Service Providers

• Supabase — database hosting and authentication
• Stripe — payment processing
• Email providers — transactional email delivery (e.g., certification alerts, password resets)
• Analytics tools — anonymized usage analytics

All service providers are contractually bound to use your data only to provide services on our behalf and are prohibited from using it for other purposes.

Legal Requirements

We may disclose information if required by law, court order, or regulatory authority, or to protect the rights and safety of ClearGuard AI, our users, or the public.

Business Transfers

If ClearGuard AI is acquired or merges with another entity, your data may be transferred as part of that transaction. We will notify you via email or in-app notice before your data becomes subject to a different privacy policy.

Aggregated Data

We may share anonymized, aggregated industry benchmarks (e.g., average inspection readiness scores across facility types) that cannot identify individual operators or facilities.

We retain your account and facility data for as long as your account is active. If you cancel your account:

• You have 30 days to export your data
• After 30 days, your data is deleted from active systems within 90 days
• Anonymized data and backups may be retained for up to 12 months for legal and security purposes

We implement industry-standard security measures, including:

• Encryption in transit (TLS) and at rest
• Row-Level Security ensuring users can only access their own facility data
• Authentication with secure session management
• Regular security reviews

No system is 100% secure. In the event of a data breach that affects your personal data, we will notify you as required by applicable law.

We use cookies and similar technologies to:

• Keep you signed in across sessions
• Remember your preferences
• Understand how the Service is used (via anonymized analytics)

You can control cookies through your browser settings. Disabling cookies may affect Service functionality such as staying signed in.

We do not use advertising cookies or sell behavioral data to ad networks.

Depending on your location, you may have the following rights:

All Users

• Access the personal data we hold about you
• Correct inaccurate data
• Delete your account and associated data
• Export your facility data in CSV or PDF format

EU/UK Users (GDPR)

• Right to restriction of processing
• Right to data portability
• Right to object to processing based on legitimate interests
• Right to lodge a complaint with your local supervisory authority

California Users (CCPA)

• Right to know what personal information is collected and how it's used
• Right to opt out of sale of personal information (we do not sell personal information)
• Right to non-discrimination for exercising your privacy rights

To exercise any of these rights, contact us at support@clearguardai.app. We will respond within 30 days.

The Service is not directed at children under the age of 13. We do not knowingly collect personal information from children. If we learn that a child under 13 has provided personal information, we will delete it promptly. Contact us at support@clearguardai.app if you believe a child has submitted data.

The Service may contain links to third-party websites or integrations. We are not responsible for the privacy practices of those third parties. Review their privacy policies independently.

We may update this Privacy Policy as the Service evolves. We will notify you of material changes by email or in-app notice at least 14 days before they take effect. The "Last Updated" date at the top of this page reflects the most recent revision.

Continued use of the Service after changes take effect constitutes acceptance of the revised policy.
